Saved, Shared, and Restricted Views
Overview
Freight Portal has extensive built-in functionality around custom setting of different Views types. First let's discuss how these views differ from one another:
- Saved Views - these are tied to the user-level, meaning that each individual user can have their own custom set of unique Saved Views to quickly toggle between as they navigate through Freight Portal
- Shared Views - these are views that are created and either assigned to a named user in the system or created and shared with an unauthenticated link
- Restricted Views - these are "read-only" unauthenticated views with a custom set of filter criteria that can be given to customers/3rd parties/etc to share a subset of shipments easily. These custom URLs are active as long as the view is active. As soon as the view is deleted by a Freight Portal user, that link is deactivated.
Views
Views are broken down in two distinct areas:
Saved Views:
Shared & Restricted Views
Both Saved and Shared Views have Search and Sort functionality in the top header section if your user or organization has many of these setup for quick access:
Saved Views
Creating a new Saved View is as simple as clicking the "Create" button. Once you do, a new screen pops up that allows the user to set any number of filter criteria.
The can also set this as their "Default View" which means when they first login to Freight Portal for the day, this filtered View is applied by default. Default Views are shown in the list with the "eye" icon.
Users can quickly toggle between default views by clicking "Apply" alongside one view that is already setup.
Trimble Visibility configures a useful set of Saved Views for all users upon account creation so this list will always have a number of quick view options even if the user has never set one of these views up.
Users can click on one of the Views setup to expand a card to show what filter criteria applies.
There are also some quick actions that the user can take on the card:
- Set as Default View - sets the view as default
- Clone - clones the same exact filter criteria creates a new view that the user can then add/edit items and name something new
- Edit - quick edit the view
- Delete
Shared & Restricted Views
Shared and Restricted Views are all managed under the "Shared Views" section. As a reminder, here is the difference between Shared & Restricted Views:
- Shared Views - these are views that are created and either assigned to a named user in the system or created and shared with an unauthenticated link
- Restricted Views - these are "read-only" unauthenticated views with a custom set of filter criteria that can be given to customers/3rd parties/etc to share a subset of shipments easily. These custom URLs are active as long as the view is active. As soon as the view is deleted by a Freight Portal user, that link is deactivated.
Creating a Shared or Restricted View has one key difference, user(s) assigned to the view vs no users assigned to the view.
By selecting "Assign this custom view to an existing user" whatever set of predefined filter options will apply to that user's view upon their login.
For example, you may only want to provide a grouping of users access to only the Inbound and/or Outbound shipments out of their facility. You may not want these users to see all other shipments not tied to that specific facility. This is where users can make these filtered views, assign to their named system users, and those filters will automatically apply when those named users attempt to login.
We do take into account the "application permissions" defined under "User Management" for that user to determine which areas of the application they have access.
These users do have edit access to shipments, if you want a user or set of users to have Read-only access to a filtered down subset of shipments, that is where a Restricted View would be leveraged.
Restricted Views
Sharing of a Restricted View is as simple as clicking the "Share" icon denoted below. A message will pop up showing that the link has been copied to the user's clipboard. Sharing out of this link will provide an unauthenticaed and read-only view to any 3rd party that may have a stake in these shipment movements.

Restricted View links do not have any access to other application areas except the standard Cards, List, Calendar, and History Views.
